This site serves as a resource for University of Miami SharePoint owners to review sites that have shown prolonged periods of inactivity. Its purpose is to support responsible site management by prompting administrators to confirm whether identified sites should remain active or be archived, helping maintain a secure, organized, and efficient digital environment.
As part of an ongoing effort to streamline the University of Miami's digital workspace, the IT department is reviewing and archiving SharePoint sites that have remained inactive over an extended period. This initiative helps improve system performance, reduce storage costs, and enhance data security by ensuring that only actively used sites remain accessible.Overview
For SharePoint site owners, clicking the link below will direct you to the Inactive SharePoint Sites Application where you will: This quick review process helps ensure that the University's SharePoint environment stays secure, relevant, and clutter-free. You must make a selection for every SharePoint site you are listed as an owner for before being able to submit your selections. For each site, choose one option: "Archive my site," "I am not the owner," or "Keep my site." After making all of your selections, click "Submit." Important Notes:
Getting Started
A SharePoint site is considered inactive if it has not had recent user activity (such as file access or edits) for at least six months.
If you were directed to this page, you are listed as the owner of one or more SharePoint sites that have not shown activity for the past six months. We are asking owners to review these sites and let us know whether they should be kept or archived.
If you were identified as a SharePoint site(s) owner of an inactive site, and if no response is received by the designated deadline, your site will be archived by default for three months—after which time it will be deleted.
Your data will not be lost when the site is archived; the site will simply no longer be viewable or available for interaction. However, after three months, the archived site will be deleted and access to the data will no longer be available.
No, once archived, a SharePoint site cannot be reactivated by the owner. To have the SharePoint site reinstated once archived (and before deleted), a general support incident must be opened.
The "submit" button appears when you have made all selections within the app.
Within the app, select "I am not the owner." If there is no other owner, the site will be archived accordingly.
If your SharePoint site is already listed in the app, it was identified based on past inactivity and will not be removed from the app by accessing or editing it now; however, you can use the “Keep my site” option in the app to prevent it from being archived. Going forward, to keep any other SharePoint sites you own from being flagged as inactive in future reviews, simply access a file and/or edit the SharePoint site periodically to keep it active.
