Introduction

To the University Community

The Department of Information Technology is pleased to present this combined issue of Information Technology and The Telecommunications User’s Guide.

All members of the University community are able to take advantage of the Information Technology central computing facility and Telecommunications infrastructure and services. The central computing facility features a multi-machine environment as well as numerous consultants dedicated to providing the highest level of service. Telecommunications handles all aspects relating to phones, voice mail, videoconferencing, satellite downlinks, and campus and metropolitan area networks. We offer the highest quality and most cost-effective communication and network services available to the University community. This guide is intended to make it easier for an individual to understand and utilize the services that we offer. Included is a staff directory, sections on the different groups within Information Technology, the services we provide, and how to contact them for assistance. For further information, please do not hesitate to call any of the listed consultants.

This User’s Guide will continue to be updated periodically as new features and services are added. We welcome any comments and suggestions, and urge you to keep this guide handy as a reference source.

Guide Overview

This guide is a reference to the many services that the Department of Information Technology and other departments offer. It should answer any questions that you may have about who to contact for support, what resources are available to you, and what services we offer. If you have any questions or comments about this guide, we welcome them.

The Department of Information Technology is divided into ten main groups: Academic and Research Systems, Administration and Budget Control, Application and Database Development, Computer Services (which includes Computer Security and Control, Data Center Operations, and Document Imaging), End User Support, Information Systems Institute, and Telecommunications.

The Academic and Research Systems Group consists mainly of support staff. This includes employees that manage computer labs, teach computer classes, maintain some central computers, and provide consultation to the students, faculty, and administrators.

Administration and Budget Control handles all of the financial aspects for the Department of Information Technology, including Telecommunications.

Application and Database Development develops and maintains all administrative applications, including the myUM system, which provides students and University employees with access to important personal information 24 hours a day on the Internet.

Web Resources supports the University’s web development efforts. This includes providing departments with tools for creating and updating their web sites.

Computer Services supports the Information Technology data center. This data center contains the central computing hardware systems and servers that support all the University administrative and academic divisions and operates on a 24/7 day basis.

IT Security Group is responsible for providing and administering security services within Information Technology and the University community. IT Security supports the production activity of the data center and manages computer and physical security, including maintenance of computer access records and reports.

Document Imaging enables departments to electronically store documents in digital formats. Appropriately indexed, these documents can be retrieved, printed, and/or faxed directly from the workstation.

End User Support provides technical information and services to assist university users in the use of technology. Services include product acquisition, application training, hardware and operating system troubleshooting, and help desk support. End User Support is comprised of the following groups: CaneNet Connection, Messaging and Collaboration, Technology Product Center, Training and Support, and Wintel Enterprise Server Support.

The Information Systems Institute provides training rooms, computers, materials, and classes to the University and the local and international community.

Telecommunications handles all aspects regarding phones, voice mail, video conferencing, and campus, metropolitan, and wide area networks. They offer the highest quality and most cost effective services on strategic communication systems, voice and data network security, planning and engineering, customer support, performance standards and technical measurements, network technical services in the local and wide area networks, and telecommunications procurement and implementation management.

The University of Miami ‘Cane Card can be used in many ways around campus. It can be used as a debit card, an access card, a meal plan card, and for entrance into sporting events. As a debit card, your ‘Cane Card can be used in vending machines, the UM bookstore, dining facilities, the convenience store, the Student Health Center, and for making copies. For your convenience, you can make deposits to your account at the Cashier’s Desk located in the Ashe Building, at the DART machine located in the Otto G. Richter Library, or on the web in your myUM account at http://myum.miami.edu. After logging into your myUm account, click on the “Student” tab, then go to “Financial.” Under “Cane Card Information” you can make deposits to your canexpress account with a credit or debit card. Deposits can also be made directly through the mail to your Cane Card Express Account at:

Since the card is a debit card, it is intended that the sums of money on deposit will be used for debit purchases, not for cash withdrawals. There are no interest charges or fees involved with this card.

Each time your card is used at a point of sale, the display head on the reader will show the account balance after the purchase has been completed. If you have any questions, Student Accounts located in the Ashe Building can help resolve any issues you may have concerning your account. The ID office can be contacted directly at 305-284-2295.

As an access card, your ‘Cane Card allows you to enter your Residence Halls, the library, computer labs, and various buildings around campus. Individual departments grant access to the various buildings and doors around campus. If you feel you do not have the correct access to doors or buildings, please contact the responsible party in that department to resolve the issue. Your ‘Cane Card also allows you access into University sporting events.

If your ‘Cane Card is lost or stolen, call Public Safety at 305-284-6666, 24 hours a day, 7 days a week, to report the missing card. If you lose your ‘Cane Card you can deactivate it via the Internet in MyUM. Cards can be replaced at:

The cost for replacement of a lost or stolen card is $15.00. Cards that have become damaged or are in need of repair will be replaced without charge upon submission of the damaged card.

The Telecommunications department has made it easier for you to resolve issues concerning your ‘Cane Card by directing your call to the appropriate area when you call the Support Center at 305-284-6565, option #2. For non-critical service questions, CaneCard Service can be contacted directly at canecard@miami.edu.

Computer Accounts and UserIds

Information Technology (IT) offers accounts on IBM Mainframe, OpenVMS, and UNIX systems. A valid department account number is needed in order to obtain a UserId on any of these systems. An Interdepartmental Requisition Form must be submitted if IT has never before charged that account. Once this is accomplished, or if an account has already been established, simply fill out the Logon Request Form that pertains to the system on which you wish to receive a UserId.

Academic Account - This account provides faculty, staff, and students with access to computer systems. This is available to students, subject to departmental approval. The department must provide IT with a departmental account number and the authorized signature for that account. All UserIds on this account will expire on May 31st of each year and must be renewed to continue usage.

Administrative Account - This account is for administrators who need access to computer systems. The department must provide IT with a departmental account number and the authorized signature for that account.

Class Account - This account is designed for classes requiring computer usage for the successful completion of a course. The professor will fill out a Logon Request Form with the number and section of the course. Student class UserIds will be generated by IT automatically for that class from the registration database and will only be granted to students officially enrolled in a class. Class Accounts expire upon completion of the course.

Research Account - Research accounts are for projects that have received research grants. The research must be computer oriented and a departmental account

A UserId is a unique identifier that is assigned to you for access to a specific system. Generally, the UserId consists of the first letter of your first name, followed by your last name. UserIds for academic, administrative, and research accounts consist of up to twelve alpha-numeric characters for OpenVMS, and up to eight alphanumeric characters for the UNIX systems. Once IT has permission to charge an account for academic, administrative, or research usage, simply fill out the Logon Request Form that pertains to the system for which you wish to receive a UserId or send e-mail to terry@miami.edu or call Terry Helmers at 305-284-3849.

Faculty may obtain computer access for all of the students in a class by checking the circle labeled “class,” and by writing their department abbreviation, course number, and section in the appropriate lines of the Logon Request Form (e.g. MTH502QY). Class accounts require only the signature of the appropriate faculty member. IT will obtain a list of the students enrolled in the class directly from the Enrollment Management System, and will e-mail the list of class usernames to the professor.

Students can learn their UserIds for classes from their professor. Use of another person’s UserId is STRICTLY PROHIBITED!

Every IT system requires a password. The initial password for all systems is the last four digits of the social security number plus the first two letters of the last name (e.g. 6789ja). When logging in for the first time, the system will prompt the user for a new password. A different password must be used.

REMEMBER the password! A user cannot log into the computer without it! If a password is forgotten, it can be reset, but this is time lost for both the user and IT. Do not give your password to anyone. NO ONE should ever need to know your password. Report to the system manager anyone requesting your password and DO NOT send the password to anyone in an e-mail message.

Offensive messages (e.g., messages with sexual, discriminatory, racial, or derogatory connotations) will not be permitted without the explicit consent of the recipient of the message. Harassment in any form will not be tolerated, and violators will have accounts revoked.

CaneID is a username/password authentication process that provides access to multiple UM Information Technology systems and services via the use of one username/password. With CaneID, users will reduce the number of different username/password combinations they have to remember.

The University has many computer labs available to the University community. Computer labs managed by Information Technology are located in the Ungar Building, the Engineering Building, and the Residential Colleges. In these labs there are computers, high quality laser printers, and scanners available to users. Operating hours are specific to each lab. The only requirement for use of the University computers is a valid University of Miami Identification Card. To give every user the opportunity to access IT’s computers, a reservation system has been developed for IT-supported labs. Computers may be reserved in two-hour blocks. Reservations can be made at least two hours in advance, but no more than three days in advance. A maximum of two non-consecutive reservations may be made per day. Reservations are forfeited five minutes after the set time, according to the lab’s clock.

Professors may also reserve any of the IT-supported labs for one class period at a time by contacting Julie Potter at 305-284-3969 or Carlos Sainz at 305-284-3565.

Games may be played on IT computers, but you must be courteous to others. If the game involves sound, headphones must be worn or sound features must be disabled. Additionally, if others are waiting to use the computer for non-game applications, you must relinquish the computer. During times of heavy lab use, games may not be played at all.

Certain other policies exist to maintain an ideal working environment for users. Absolutely no food or drinks is permitted in any of the labs. Also, manually feeding paper into the printers is prohibited. Please see additional rules that are posted in each of the labs.

Unauthorized copying of software is not only a violation of IT Lab Policies, but is also illegal. Copyright laws protect software, authors, and publishers. Infringement of these copyrights can harm the entire academic community. You may not receive and use unauthorized copies of software, nor may you make unauthorized copies of software for others. You have a legal and ethical responsibility when you use the software, hardware, and facilities.

End User Support Classes

End User Support (EUS) Group offers computer application training courses for University of Miami employees. The courses consist of instructor led, hands-on training sessions and are geared toward guiding trainees from basic, introductory level topics to advanced level topics in the desired applications. EUS is now offering training for the Microsoft Office 2007 suite, which includes Access, Excel, Outlook, PowerPoint, and Word. Training for Adobe’s popular Acrobat, InDesign, and Photoshop programs is also available.

In addition, EUS offers specialty classes and seminars, such as Introduction to SPSS and Report Distribution System (RDS) training. EUS also offers training courses on the University of Miami’s Web Development Site, a web-based solution for building departmental websites and Communité, the university’s VoiceMail web interface.

Information Systems Institute

The NGJ Information Systems Institute at the University of Miami provides professional computer facilities and technology education to IT professionals from the local and international corporate world as well as employees of the University. Over the past 13 years we have grown from a single classroom with 3 courses to a training facility with 8 state of the art computer classrooms and over 20 complete curriculums. In 1995, we were designated by IBM as a fully authorized Training Partner. Currently we offer the complete suite of IBM courses. We are continuously offering additional courses such as WebSphere, Java, and training tracks such as Cisco, Linux, MCSE, Redhat Linux, and many more as customer demands dictate. Last year we trained well over 700 customers through the IBM educational program alone. The Institute is also a training partner to Enterasys Networks, Foundry Networks, and Nortel Networks. These affiliations bring to our customers new technology curriculums previously not available. E-mail Alias

The University of Miami offers e-mail aliases to all students, faculty, and staff members. An e-mail alias is an alternate address pointing to where you want your e-mail delivered. Using an e-mail alias, rather than the e-mail address, permits you to change e-mail systems without interrupting your mail service and without inconveniencing those who send you mail. If you decide to use a different e-mail system, you simply point your e-mail alias to the new e-mail address. You don’t have to notify any friends or business associates of the change of address, as the alias has not changed.

For faculty and staff, the alias is called the UM Faculty or Staff E-mail Alias. For students, it is called the UM Student E-mail Alias.

UM Faculty or Staff E-mail Alias

Faculty and staff are assigned a default UM e-mail alias address in the form of: the first initial, followed by a period, and then your last name@miami.edu. (j.doe@miami.edu). The default e-mail alias can be changed by filling out the online form at http://www.miami.edu/hr/forms and selecting “E-mail Registration Information” from the bulleted list. The “yourname” may be customized by the user (within the guidelines stated on your form), but each alias must be unique. Users will continue to receive their e-mail on their preferred system.

UM Student E-mail Alias

Students at the University of Miami are automatically assigned an e-mail alias in the form of yourname@umiami.edu, where “yourname” takes the form of the first initial followed by a period, and then your last name. For example, student Jane Doe would have an e-mail alias of j.doe@umiami.edu. (Note that a number may be added to your last name if someone has already been assigned an identical e-mail alias.) Although this alias is created automatically, the student must activate it through the MyUM system by registering their preferred e-mail address. After that, all mail sent to the e-mail alias will be automatically routed to the preferred e-mail address. You can change your preferred e-mail address at any time through the myUM system. You can access myUM at http://myum.miami.edu.

Electronic Mailing Lists

Faculty and staff members, as well as active registered student organizations throughout the University of Miami, are able to request electronic mailing lists. Student organizations must be registered through the Department of Student Activities and Leadership Programs.

An electronic mailing list is a collection of e-mail addresses. The purpose of a mailing list is to allow a user to send one message that will be received by all the subscribers to that mailing list. Mailing lists are created using LISTSERV™. To request a list, please fill out the Electronic Mailing List Request Form which is available from the web at http://www.miami.edu/listserv/.

Faculty can activate a class mailing list for their classes through myUM (http://myum.miami.edu). After signing on to myUM, select the “Faculty Menu” tab. Under “Other Faculty Functions” select “Request/Cancel Listserv For Your Courses.” Activate those classes you want a mailing list for.

Your mailing list should be ready to use by the next working day. You will receive an e-mail giving you instructions on how to use the class list. The subscriptions to the mailing lists are automatically updated daily reflecting all additions and deletions. Professors can use this mailing list to send e-mail announcements to the students currently enrolled in their courses. Spam Block

Spam is abuse from electronic messaging systems sending unsolicited, and nearly identical messages to numerous recipients. Spamming is economically viable as the recipient directly bears the cost of delivery, storage, and processing. Spammers are numerous and often go to great lengths to conceal the origin of their messages. More than 80 percent of the spammers now use networks of virus infected PCs (zombies) to send spam, and the volume of spam has become very high and is increasing yearly. The costs, such as lost productivity and fraud, have forced companies and internet service providers to implement solutions to control spam.

Electronic Mail Systems

E-mail networks consist of millions of computers at commercial, government, military, and educational institutions around the world. E-mail allows users to send and receive messages to and from other users within the University and anywhere in the world.

Any user that would like to use electronic mail should first decide which system they would like to use as their preferred system, and then fill out the appropriate form.

Microsoft Exchange

This e-mail system utilizes the CaneID, part of the single-sign on initiative at the University of Miami. To obtain a mailbox on this system, complete the Exchange Access Form, which can be obtained via the web at http://www.miami.edu/it-forms/. A valid departmental account number is required in order to obtain a mailbox on the Exchange system. Please return this form to IT Security, Plumer Suite 41, Locator Code 2500. Questions regarding Exchange account creation or termination, should be directed to IT Security at 305-284-5992. For training regarding Microsoft Exchange and Outlook, contact the End User Support group at 305-284-2944 or go to the training web page at http://www.miami.edu/user-support/training.

MyCanes Student E-mail

MyCanes is the official student e-mail system at the University of Miami. It offers students the ability to check e-mail through the web from anywhere with internet access as well as through IMAP clients like Outlook, Thunderbird, and Apple Mail. Additional services include group calendaring, personal online file storage, web page hosting, and full integration with SpamBlock the University’s enterprise spam and virus filter.

OpenVMS and UNIX

These systems are available to faculty, staff, and students. In addition to e-mail, these systems offer a number of other services and software, please refer to the Software Table List on page 40. To obtain a UserId on either the OpenVMS or UNIX systems, complete the Logon Request Form, available in the ISF, Ungar building, room 103A or on the web at http://www.it.miami.edu/forms/. For questions regarding these systems, contact Terry Helmers at terry@miami.edu or 305-284-3849. A valid department account number is needed in order to obtain a UserId, unless it’s a class account (please see page 10).

Users can access e-mail via IMAP or POP clients on the UNIX or OpenVMS systems. For off-campus users of IMAP or POP clients, it is recommended to use the outgoing mail server user name option. This

authentication process will allow e-mail to be relayed via the UNIX or OpenVMS mail servers from any location. This would be especially useful to laptop users that connect to many different networks. This, in combination with TLS (Transport Layer Security) or SSL (Secure Sockets Layer), will ensure that your e-mail is encrypted from your e-mail client to the UNIX or OpenVMS e-mail server.

UMail

UMail is a email system offered to currently enrolled University of Miami students. This new Microsoft Exchange mail system offers students an easy way of checking email anywhere or anytime on most email client software, via a web based interface, or on many mobile devices. In addition, UMail incorporates Microsoft Exchange’s calendaring, contacts, tasks, and notes features.

UMail features 1GB mailbox storage size, anti-virus and optional anti-spam filtering, compatibility with Microsoft Outlook, Outlook Express, Entourage, and Apple Mail, and access to the UM-wide address list, all personal contacts, and calendar in one location.

Telecommunications provides all data communications services on the Coral Gables campus and for the following business units on the Medical and RSMAS campuses: Purchasing, Accounts Payable, Human Resources, and Controllers. Data communications for all other users within Medical and RSMAS campuses are provided by their respective campuses. Please see Trouble Reporting on page 45 for contact information.

Telecommunications offers several different options for network connectivity within and between campuses. These options reflect alternatives and recurring charges associated with the desired network connectivity. All options provide complete end-to-end network access from the (customer’s) origination hardware to the destination hardware. The charges listed do not include costs for microcomputers, workstations, terminals, software, adapter boards, etc; these are the responsibility of the customer. Arrangements can be made to acquire these items through Purchasing, the Technology Product Center, or an approved vendor.

Because most university departments have specialized data communications needs, Telecommunications will work with each department to determine what systems and configurations will best serve the department’s needs.

CaneNet

CaneNet is UM’s student network located in the Residential Colleges. Ethernet ports in every room provide fast reliable Internet connections for those students living in the dorms. All that is needed is a computer with an ethernet card and an RJ45 cable. You can surf the Internet from your room, check e-mail, and much more. To activate your ethernet port on-line, you will need to apply for a CaneNet account by signing into the myUM system at http://myum.miami.edu/, click on the tab “Life at UM”, and under “Other Functions”, click on “CaneNet and Wireless Access Network.”

Central Server Services (CSS)

Central Server Services provides wide ranging office technology and support in a networked environment. CSS provides access to print sharing, e-mail application services (including MS Word, Excel, PowerPoint, and Outlook), Norton Virus-protection, Internet Explorer, PowerTerm, Microsoft patch management, and more.

For a start-up and monthly fee, Telecommunications will not only connect your PC to the Internet, but will handle all aspects of your network (i.e., printer problems, forgotten passwords, network problems, failed logon attempts, e-mail problems, etc.). Additionally, your computer will have the latest patches and will be backed up everyday. We have network specialists ready to assist your department in today’s increasingly complex network environment.

Application Services - Services: provides individual client PC’s access to several software programs such as Word, Excel, Access, PowerPoint, Outlook, Exchange Client, PowerTerm, Symantec Virus Protection, and Internet Explorer.

File Storage and Archiving - The files on the server will be backed-up every night. Files saved to the individual PC’s will also be backed-up.

Dial-Up

Users can remotely connect to the University of Miami from their homes using a computer equipped with a modem and communication software. The University provides separate dial-up options for students and for faculty, staff, and administrators.

Student

Students will be able to access the University network and the Internet through our analog dial-up Point-to-Point Protocol (PPP) service by dialing in via modem from any remote location, including their homes. These modems can be reached at 305-284-5595.

Students must sign up for CaneNet through the MyUM system at http://myum.miami.edu/ to access the off-campus remote dial-up.

Students who wish to access the Internet off-campus will need the following minimum requirements:

A computer that communicates via Point-to-Point Protocol (PPP)

One of the following operating Systems:

Windows 95, 98, NT, 2000, XP

Mac OS 7.1 and above

Any other operating system that supports PPP (e.g. Linux, etc.)

A 14.4 BPS or faster modem

A standard analog phone line and jack

Faculty, Staff, and Administrator

The faculty, staff, and administrator dial-up option can be used to access the University of Miami’s network as well as the Internet. This option provides greater availability (should never receive a busy signal) and higher speed modems (56K bps). It uses Point-to-Point Protocol (PPP) communication software that allows users to access campus computer networks and hosts through a standard analog phone line from any remote location including your home. PPP software is found in the dial-up networking on your computer.

To use this option, a UserId and password are required. In order to receive a valid UserId, please contact Telecommunications at 305-284-6565, option #3, or send a TSR to Telecommunications requesting PPP service.

We have tailored the following 3-tier access structure to reach as many subscribers as possible:

1. E-mail Only - gives access to IT E-mail servers only using IP (Internet protocol). This includes IT operated Microsoft Exchange, UNIX, and OpenVMS

e-mail servers.
